As an event manager, I plan and organise promotional, business and social events. I was responsible for running a range of activities, ensuring the target audience is engaged, and the message of the occurrence is appropriately marketed. Events play a huge part in the success of a brand or an organisation. Also, as an event manager, I organise conferences, seminars and exhibitions, as well as parties and corporate incentive trips.

Also, manage the whole event process from the planning stage, right through to running the event and carrying out the post-event evaluation. My role is primarily hands-on and often involves working as part of a team.

As a manager, I also search for potential event sites, such as hotels and convention centres. More also consider the lodging and services that the facility can provide, how easy it will be for people to get there, and the attractions that the surrounding area has to offer. More recently, I also consider whether an online meeting can achieve the same objectives as a face-to-face meeting.

Once a location is selected, I arrange meeting space and support services. Also, I negotiate contracts with suppliers to provide meals for attendees and coordinate plans with on-site staff. I organise speakers (master of ceremony), entertainment, and activities. Also, I oversee the finances of events and conventions

Most often, as an event planner, I work full time. Also, many occasions required me to work long and irregular hours in the time leading up to a significant event. During event or conventions, I work very long days, starting early in the morning and working late into the evening. Sometimes, work must on weekends. Although the work is mostly office-based, I also need to travel to visit clients, partners, sponsors, venues and other suppliers. Also, I work outside to plan and deliver the event, such as an outdoor concert or festival.

Responsibilities

As an event manager I

  • liaise with clients to find out their exact event requirements
  • Produce detailed proposals for events (including timelines, venues, suppliers, legal obligations, staffing and budgets)
  • Research venues, suppliers and contractors, then negotiate prices and hire
  • manage and coordinate suppliers and all event logistics (for example, venue, catering, travel)
  • Liaise with sales and marketing teams to publicise and promote the event
  • Manage all pre-event planning, organising guest speakers and delegate packs
  • coordinate suppliers, handle client queries and troubleshoot on the day of the event to ensure that all runs smoothly and to budget
  • Manage a team of staff, giving full briefings
  • organise facilities for car parking, traffic control, security, first aid, hospitality and the media
  • Make sure that insurance, legal, health and safety obligations are followed
  • Oversee the dismantling and removal of the event and clear the venue efficiently
  • Produce post-event evaluation to inform future events
  • Research opportunities for new clients and events.
